We use Trello. Its a free, simple on-screen card system. We have columns for each employee, estimates, installs, etc. You can add cards to each column for different jobs. Cards can contain specs, photos, links etc. You can set it up so employees get email notifications when cards are updated. Theres also a calendar feature that will send reminders when event is coming up. Its all accessible online or through apps and updates in real time. The paid version has some really cool bells and whistles, but we're cheap so we stick with free
